Review
A year after you allow a tool, it comes back on the table: who gets the email, which steps you walk through and how the register shows what is overdue.
Allowing a tool, completing its registration and reviewing it are three different things. Last year's decision may still hold, but the use cases, the people and the documents change. So every tool in the AI register gets a Reassessment: the first one a year after the tool was allowed, then on the date you choose when you complete one.
What the tool page shows
The tool page has a Reassessment block with three fields:
| Field | What it holds |
|---|---|
| Last reassessment | The date of the previous one, or "Not yet". |
| Next reassessment | The planned date. Once it has passed, it reads "overdue"; without a date it reads "To be planned". |
| Reassessment owner | The member who leads the review, or "Nobody yet". Whoever allowed the tool is listed by default. |
Change date or person adjusts the date or the owner without doing a review. For a retired tool the block reads "No longer needed".
The email
Fourteen days before the date, and on the day itself, the reassessment owner and the admins get an email. Each reminder goes out once per date. An owner who is not a member gets no email; pick a member as owner, or leave it to the admins. A retired tool sends no email.
Doing the review
Start reassessment opens the window "Reassessment: {tool}". It walks through the parts of the registration in five steps; each step shows the real part, and you change it right there.
Use cases
Are the use cases still right? Change them here if something has changed. Confirm with Use cases checked.
Responsible people
Are these still the right people? Save a change before you continue. Confirm with Responsible people checked.
Documents
Are the documents up to date? Update status, date or link here. Confirm with Documents checked.
Signals
Where what BeeSensible sees differs from what you recorded: the same signals as on the Measured tab. Update what is no longer right. Confirm with Signals checked.
Complete
A summary "Checked and changed" shows per part what you did: checked with nothing changed, or how many items were added, changed or removed. Choose the date of the next reassessment, add a Note if you want to, and choose Complete reassessment.
Overdue and due soon
The register shows which reviews need attention, before the email arrives:
- The Reassessment column shows the next date, with "overdue" once it has passed.
- Under Still open the tool reads "The reassessment is overdue." or "The reassessment is due within 9 days."
- The Due for reassessment filter shows only these tools; under Needs attention the reason is spelled out: "Review overdue" or "Review due soon".
- On Home, "To do in AI Governance" counts them as "due for reassessment".
I want to review a tool earlier than planned
You always can: Start reassessment does not wait for the date. To only move the date forward, choose Change date or person.
A review does not change the decision. If you no longer want to allow a tool after reviewing it, you do that in the Decision card on the overview; the tool then goes to Retired and the history stays.
