Home: what is waiting for you

The four blocks on Home, the list To do in AI Governance, the setup steps, and demo data during a trial.

Home is where an administrator lands after signing in. It follows the product's cycle: Decide first (what is waiting for you), then See, Help and Substantiate, with Team at the end. Each block shows the same figures as the screen it links to, over the same period.

Home in the dashboardThe first page after sign-in; every block links through to the screen behind it.

To do in AI Governance

The Decide block is called To do in AI Governance and holds at most three rows. The number in front of each row is the same as the counter on that item in the menu: one count, two places.

RowWhat it countsButton
tools await a decisionTools used in the last 30 days or declared by an administrator, with no decisionDecide, to the Inbox
disallowed tools are still in useTools with the decision Not allowed that were still visited in those 30 daysFollow up, to the Not allowed view of the register
tools in the register need attentionRegistrations still to complete, due for reassessment, or with a document openGo to the register, with the filter Needs attention

The register row says why underneath: "3 to complete, 1 due for reassessment, 2 with a document open". A tool counts once even when more than one thing is open on it, so the parts do not add up to the number.

When there is nothing to do, the block says "Nothing to do. Every tool in use has a decision and the register is up to date." When BeeSensible has not seen a tool yet and nothing was declared, it says so and links to All tools.

This block counts tools, not people. That is why it stays on Home below the privacy threshold, where the usage figures are still closed.

See, Help and Substantiate

See is called AI tools on Home and covers the last 30 days: AI tools in use, Newly discovered and Use in allowed tools, then the chart AI use per day and the list Most used allowed tools with each tool's share of all AI use. Go to Usage opens Insights > Usage, which shows the same figures.

Help is called Sensitive data and counts over the last 7 days: how many times sensitive data was handled before sending, and how many times critical data was sent anyway. The bar underneath puts everything recognised on one line: Handled before sending, Critical sent anyway and No action recorded. With the Documents module there is a line with the documents anonymised in 30 days. Without Realtime Privacy the block is about documents only. Go to Sensitive data opens Insights > Sensitive data.

Substantiate shows Accountability over the last full quarter, one line per topic: so many of so many tools with a decision, so many of so many critical detections adjusted, so many AI notices shown. Below that, when the latest report was made, or "No report made yet." The block is there only when Accountability is switched on under Organisation > Settings; it needs the Realtime Privacy and AI modules. It carries no status: what the figures mean is on Accountability.

Team closes with how many seats are active. Active means signed in from the extension or the desktop app.

The setup steps

Above the grid sits Get started, with "x of y steps done". The first question is How does BeeSensible reach your devices?: With Intune, With Group Policy or Everyone installs it themselves. The steps depend on it, and you can change the choice later.

For a central rollout they are: verify your domain or connect SSO, pass work sign-in through, roll out the extension, roll out the desktop app and check who uses BeeSensible. Each step counts what is already there, such as "12 of 40 installed by policy". When everyone installs it themselves, you get the buttons to install the extension and the desktop app and to invite your team instead.

Then come the steps inside the product: make a first decision about an AI tool (Open the Inbox), create a detection profile and anonymise a first document, each as long as the module behind it is on.

Hide the setup steps takes the block off Home. You bring it back under Organisation > Central rollout. The steps themselves are worked out in Managed rollout.

During a trial

A trial starts with an empty dashboard. Home then gets a strip with the four steps of the trial and a few extra cards:

  • Do you use these?: tick the AI tools you use. What you tick lands in the Inbox with the badge Declared, until BeeSensible sees the tool itself. A declared tool counts nowhere in the figures.
  • What it will look like, with the button Switch on demo data. Every insight then shows the invented figures of a small business, with a banner at the top saying they are demo data. Demo data runs in your browser, writes nothing and sends no email. You switch it off on the same card with Switch off demo data.
  • While you are the only active user, the threshold card lets you turn on the Sandbox: figures from 1 user, so only your own data. It stops by itself as soon as a colleague activates BeeSensible, and at the end of the trial at the latest.
