Compliance: what deviates from the decisions
Insights > Compliance: policy compliance, visits to disallowed tools, tools in use without a decision, and what happened after a notice.
Insights > Compliance puts the use next to the decisions: what share runs through allowed tools, which tools are used while not allowed or still without a decision, and what employees did after a notice. It is the screen for the DPO or the CISO. Here too: counts per organisation, no user id, no content.
Compliance in the dashboardUnder Insights in the menu, with the same period and tool filters as Usage. The bar at the top is the same as on Usage: period, department and a tool filter of at most 8 tools.
The three numbers
- Policy compliance: the share of AI use that runs through allowed tools, with the change in percentage points against the period before.
- Visits to disallowed tools: how often people still reached a tool you said no to, "of 1,240 AI visits this period".
- In use without a decision: how many tools in use await your decision.
Visits to a shared domain where the account cannot be recognised do not count when you allowed only the business variant; the figure says how many there were.
Used, not allowed
The card Used, not allowed lists every tool used in the period without being allowed, in two groups: Not allowed and No decision yet, the latter with the button Go to the Inbox. Per tool:
| Column | What it is |
|---|---|
| Share of all AI visits | The share of all AI visits in the period that went to this tool |
| Visits | The number of visits |
| Installs this month | Browser extensions that used the tool this month; below five it says "fewer than 5" |
| Chose alternative | The share of notices shown after which someone opened the alternative, or "no notice" when no notice was shown at this tool |
Every row opens the tool page in the register. There you change the decision and, under Designated alternative, set the tool the notice points to; the Not allowed view of the register shows per tool which alternative is set. When nothing is out of line, the card says so.
Notices about tools
The card Notices about tools shows what the notices in the browser do: how often a notice was shown when someone opened a tool without a decision, or one that is limited or not allowed, and what share chose an alternative.
Per kind of notice the outcomes sit side by side: alternative opened or continued anyway. At a disallowed tool the card counts separately who continued by holding the button ("held through") and who clicked through. This is about opening the tool, not about what was typed into it.
The count covers browser use only (the desktop app shows no notices) and at most once per tool per day. When no notice was shown in the period, the card is not there. With a tool filter the card keeps counting across all tools; the screen says so.
Which decisions show a notice, and whether an employee can continue at a disallowed tool, you set under Policy > Notices. If you choose Employee cannot continue there, that is your decision; BeeSensible does not block by itself.
Departments
With Department insights on (Organisation > Settings), the Departments card shows per department how many non-allowed tools are in use and what share of AI use runs through allowed tools. Departments below the configured minimum (5 people by default) and members without a department are combined under Other. Click a department to filter the whole screen on it; the period then becomes at least 7 days.
The same figures return in Accountability, per month or quarter, next to the provisions they belong to.
