Notices at AI tools
What people see when they open an AI tool you have decided about, what you choose about it, and what gets counted.
When someone opens an AI tool your organisation has decided about, that decision shows up in the browser. Under Policy > Notices you choose per status whether people see such a note. The screen says it itself: "A note does not block." Only for Not allowed can you choose that an employee does not continue; see below.
Notices in the dashboardOn or off per status, and for Not allowed the choice of what happens after the notice.Per decision
| Status | What the employee sees |
|---|---|
| Not allowed | Note with an allowed alternative and "Hold to continue anyway", or only the alternative and Go back if you choose that. |
| Limited use | The same note, with the condition you set on the tool. |
| No decision yet | A calm note, asking to enter only public information. Off by default. |
| Allowed | No note. |
The notice appears in the browser, with the BeeSensible logo. It does not appear in the desktop app.
After the notice at Not allowed
For Not allowed you pick, under After the notice, what can happen next:
- Employee can continue: the notice carries the "Hold to continue anyway" button. Whoever holds it, continues.
- Employee cannot continue: the notice only shows the alternative and a Go back button.
The alternative
At a tool that is not allowed, the alternative comes first: "Use instead", with a button that opens it, and below it "Also allowed:" with the other allowed tools. Which tool is the alternative is set per tool on the Policy tab of that tool in the AI register; it can be a tool of your own that you added to the catalog, such as an internal environment. See Policy per tool.
If only the business variant of a tool is allowed and the account cannot be recognised as business, the notice says so: "Only with your business account".
What gets counted
Every notice shown is counted with what happened next: shown, alternative opened, or continued anyway. Without a name or user id, in the browser only, and at most once per tool per day.
You find it back in two places:
- Compliance, under the notices per tool: how often a notice appeared and what people did next.
- Accountability, under "Supporting staff": AI notices shown and Alternative opened.
Someone sees no notice
Check the tool's status first: Allowed has no notice, and at No decision yet it is off by default. Then check under Policy > Notices whether the notice for that status is on. The desktop app shows no notices.
