Inbox: tools without a decision
Every AI tool that was used or declared and has no decision yet, with the four buttons, the badges New and Declared, and the daily email to administrators.
The Inbox lists every AI tool without a decision that was used in your organisation in the last 30 days, or that an administrator declared. A tool stays until you decide, even if it has been in use for a while. The counter on Inbox in the menu is the same number as the row "tools await a decision" on Home.
Every tool starts at No decision yet. BeeSensible does not decide for you: the risk band sits there as information, no button is pre-selected and there is no advice.

Per tool its name and domain, the visits in 30 days, the risk band from the catalog and the four buttons. Two badges can appear:
- New: first seen in this period.
- Declared: an administrator ticked the tool (for example on the card "Do you use these?" during the trial) and BeeSensible has not seen it yet. Instead of visits the row says "not seen yet", and the tool counts nowhere in the figures.
If the tool is not in the catalog yet, the risk column says Not assessed yet. BeeSensible is assessing it (vendor, country, what it does with input, a risk estimate); until then you see what the extension saw: the address, the visits in 30 days and when it was last seen. You can decide already.
Click the row to open the same analysis as in the catalog: properties, risk breakdown, incidents and alternatives. The name is a link to the tool page.
The four buttons
| Button | What happens |
|---|---|
| Allow | The tool gets the decision Allowed and enters the AI register. At the top you see what the registration still misses, with the button to complete it. |
| Allow with limits | First the dialog asks for the condition employees will see; common lines are ready to pick. The tool then gets the decision Limited use and is in the register. |
| Disallow | The decision Not allowed. Anyone opening the tool sees the notice from Policy > Notices, with the alternative you set; the panel at the top offers Pick an alternative right away. If the tool was already registered, it is taken out of use; registration and history are kept. |
| Decide later | Puts the tool under review in the register: it leaves the Inbox, still without a decision. |
Every decision is taken per tool; the Inbox has no bulk action. That is deliberate: allowing a tool registers it, and completing a registration is a per-tool step. Deciding on several tools at once is possible in the catalog.
After each decision the top of the page shows Latest decision: which tool, which decision, what follows from it, and the button Undo.
A tool that was here yesterday is gone
Then a colleague has decided; Decide later counts too. Look in the register under Under review, or on the tool page under History. A tool that was not used for 30 days and was not declared also drops out of the Inbox; it comes back at the next visit.
The daily email
Every morning at 07:30 each organisation administrator gets one email when new tools have entered the Inbox: tools first seen in the last seven days, without a decision, not announced before. When there is nothing new, no email goes out. Members do not get it, because only an administrator can decide.
The email contains:
- how many tools are new and how many await a decision in total (the same count as the Inbox);
- per new tool its name and the risk level from the catalog (Critical, High, Medium or Low; a tool outside the catalog has none);
- per new tool the visits in the last seven days, only when you are above the privacy threshold of 5 active users;
- one button, to the Inbox.
The email asks for a decision and proposes none. There is no advice in it and no default policy.
What does not go in the email: tools known only through the desktop app (they have no site visit and never count as new; they are in the Inbox), organisations without the AI module or without a running subscription or trial, and demo data.
Unsubscribing
| Where | How |
|---|---|
| Account | Card Email notifications, switch New AI tools in the Inbox |
| The email itself | The unsubscribe link at the bottom, or your mail client's unsubscribe button; the link works for 180 days, after that use the Account page |
Unsubscribing applies to you alone; a second administrator keeps getting the email.
